Inside and outside the municipal services a lot of paper information is still exchanged. By digitizing this paper information archive space can be saved, work can be done more efficiently (files do not go missing and remain intact) and the internal and external municipal services can be improved.
Documents are easier to retrieve and share by allocating metadata
Allocating metadata ensures that documents are easy to find after digitizing and that information in the municipality can be shared easily and uniformly. This metadata labeling actually still occurs (to a large extent) manually at many organizations and is therefore extremely prone to error. In addition, manual metadata labeling is also time consuming and partly for that reason, an expensive activity.
Content2Context has developed a solution for the municipal sector whereby metadata can be assigned automatically to digitized documents. Thus, significant cost savings can be realized, while the quality increases, due to a much more accurate and reliable (uniform) method of metadata labeling.
Automatic allocation of actions on the basis of metadata
On the basis of the allocated metadata, actions can also take place. On receipt of a letter with a request for a particular permit, the Content2Context software recognizes that the letter is a request for a specific permit, on the basis of the content of the letter. Depending on the recognized content, the letter can be forwarded automatically to the right department or expert within municipality. Thus significant costs can be saved on the mailroom and the internal processing process.
Anonymizing
With the Content2Context anonymizing-software, texts can be anonymized automatically and uniformly. Files, requests for permits, application letters and the like can therefore be used or processed without violating the privacy of the individual concerned. The time and money squandered on manual anonymizing, and the chance of (human) error, is in thus prevented.
Computerized summarization
Large amounts of text, such as policy memos, research and web texts can be easily summarized with the Summarizer. The length of the summary can be set by the user himself.
